1.1 What is Deprixa Plus

Deprixa Plus is a professional-grade courier and logistics management platform designed for businesses that need to track shipments, manage customers, assign drivers, calculate shipping rates, generate invoices, and monitor operations in real time. It is built as a SaaS (Software as a Service) application, meaning a single installation can serve multiple independent companies — each with its own users, data, branding, and billing — completely isolated from one another.

The platform covers the entire shipment lifecycle: from the moment a customer announces a package (pre-alert) or an operator creates a shipment, through warehouse receiving, rate calculation, driver assignment, dispatch with GPS tracking, proof of delivery capture, all the way to invoice generation and payment processing. Every step is tracked, timestamped, and auditable.

Under the hood, Deprixa Plus is powered by Laravel 12 on the backend and React 19 with Inertia.js on the frontend, delivering a fast single-page application experience without the complexity of a separate API. The system includes a built-in rate engine with zone-based pricing, a wallet-based SaaS billing engine with multiple payment gateways (Stripe, PayPal, Paystack), multi-channel notifications (Email, WhatsApp, SMS), a public tracking page, a customer self-service portal, and comprehensive reporting with PDF and Excel exports.

1.3 How the System Works — The Big Picture

The following end-to-end flow shows how a package moves through the system from announcement to delivery. Every step is tracked with timestamps, user attribution, and status updates.

    Customer Announces Package (Pre-Alert) or Admin Creates Shipment

    The process begins when a customer submits a pre-alert through the customer portal — notifying the warehouse about an incoming package — or when an admin/employee creates a new shipment directly from the back office using the shipment creation wizard.

    Package Arrives at Warehouse — Staff Receives and Scans

    When the physical package arrives, warehouse staff receives it and scans the tracking number or barcode. If linked to a pre-alert, the system automatically matches the package to the customer's announcement and updates the status.

    Shipment Created with Automatic Rate Calculation

    The shipment is created with origin, destination, dimensions, and weight. The rate engine automatically calculates the shipping cost based on the applicable rate card, zone, weight tier, and dimensional factor. The customer is notified.

    Pickup Scheduled, Driver Assigned

    If the shipment requires a pickup from the sender's location, a pickup request is created and assigned to an available driver. The driver receives a notification with the pickup address and time window.

    Package Dispatched with Real-Time GPS Tracking

    The shipment is added to a dispatch manifest and assigned to a driver for delivery. Once the driver begins the route, GPS tracking updates the shipment's location in real time on the map. Customers can follow the delivery via the public tracking page.

    Driver Delivers with Proof of Delivery (Signature / Photo)

    Upon reaching the destination, the driver captures proof of delivery — a recipient signature, a delivery photo, or both. The shipment status updates to Delivered and all parties receive a confirmation notification.

    Invoice Generated, Payment Processed

    An invoice is automatically generated from the shipment charges. It can be sent to the customer via email, WhatsApp, or SMS as a branded PDF. Payment is recorded when received, and the invoice status moves from Draft to Paid.

    Throughout the entire process, the customer can track their shipment on a public tracking page using their tracking number — no login required. The tracking page displays a full status timeline with timestamps, driver notes, and delivery confirmation.

1.4 Key Concepts & Glossary

These are the core terms used throughout the documentation and the application interface. Understanding them will help you navigate the platform quickly.

Tenant / Organization A company registered on the platform. Each tenant has its own isolated data, users, settings, and branding. In the database, this maps to the organizations table.
Branch A physical warehouse or distribution center belonging to an organization. Each branch has its own staff, shipments, couriers, and operational scope. Organizations can operate multiple branches.
Shipment The core entity representing a package or parcel moving from origin to destination. A shipment contains sender/receiver details, dimensions, weight, status history, charges, and delivery information.
Tracking Number A unique alphanumeric identifier automatically generated for each shipment. Used by customers and staff to look up shipment status on the public tracking page.
Pre-Alert An advance notification submitted by a customer through the customer portal, informing the warehouse that a package is on its way. Used primarily in casillero/locker operations for international parcels.
Locker / Casillero A virtual or physical mailbox assigned to a customer. Each locker has a unique code and warehouse address. Customers use this address to receive packages, especially for international shipping.
Pickup A scheduled request to collect a package from the sender's location. Pickups are assigned to drivers and follow a status workflow from pending to completed.
Manifest A batch of shipments grouped together for dispatch. A manifest is assigned to a driver and represents a single delivery route or trip.
Dispatch The act of assigning shipments to a driver for delivery. Dispatches can be created manually or using the auto-optimize engine that groups nearby destinations.
Proof of Delivery (POD) Evidence that a shipment was delivered successfully. Can include a recipient signature captured on screen, a photo of the delivered package, or both.
Rate Card A pricing configuration that defines how shipping costs are calculated. Rate cards contain zones, weight tiers, dimensional weight factors, and service type rules.
Rate Zone A geographic grouping used for pricing. Zones define origin-destination pairs with associated pricing tiers. For example, "Zone A" might cover local deliveries within a city.
Rate Rule A specific pricing rule within a rate card that maps a zone, weight range, and service type to a price. Multiple rules combine to form the complete rate structure.
Service Type The delivery speed or method for a shipment. Common service types include Standard, Express, Same-Day, and Economy. Each service type can have different rate rules.
COD (Cash on Delivery) A payment method where the driver collects payment from the recipient at the time of delivery. The collected amount is tracked and reconciled by the admin before being remitted to the sender.
Return A reverse shipment created when a package needs to be sent back to the original sender. Returns are linked to the original shipment and follow their own status workflow.
Contract A formal agreement between the organization and a customer or partner. Contracts can be created, edited, signed, printed, and stored with file attachments.
Commission A percentage or fixed fee earned by a driver or agent for completing deliveries. Commissions are calculated automatically based on configured rules and tracked per shipment.
SaaS Plan A subscription tier that defines what resources an organization can use — including maximum users, branches, shipments per month, and available features. Five default plans are included: Free, Basic, Professional, Business, and Enterprise.
Wallet A prepaid balance associated with each organization. Wallet funds are used to pay for subscription renewals. Organizations recharge their wallet via Stripe, PayPal, or Paystack.

1.5 Multi-Tenant Explained in Plain English

When we say Deprixa Plus is multi-tenant, it means that a single installation of the software can serve multiple companies at the same time — and each company operates as if they have their own private system. Think of it like an apartment building: everyone lives under the same roof, shares the same infrastructure (plumbing, electricity), but each apartment is completely private with its own lock, furniture, and tenants.

In Deprixa Plus, each company is called an Organization (or tenant). When a new organization signs up, the system automatically creates an isolated workspace for them. Their shipments, customers, invoices, drivers, rates, and settings are completely separated from every other organization in the database. One company can never see or access another company's data — the platform enforces this isolation at the database query level on every single request.

Each organization also gets its own branding (logo, colors, company name), its own set of users with role-based permissions, its own rate cards and service types, and its own subscription plan with usage limits. Meanwhile, the Super Admin — the platform owner who installed the software — has a bird's-eye view across all organizations and can manage plans, monitor subscriptions, view system health, and intervene when needed.

Single Database, Shared Infrastructure

Deprixa Plus uses a single-database multi-tenancy approach. All organizations share the same MySQL database, but every table row is scoped by an organization_id column. This keeps deployment simple (one database, one codebase, one server) while maintaining strict data isolation. All Eloquent queries are automatically scoped to the authenticated user's organization — no manual filtering needed.
